PCO Car Rental London Ltd ("we", "us", "our") respects your privacy and is committed to protecting your personal data. This policy explains what information we collect, how we use and store it, who we share it with and the rights you have over it. It applies to our website, our WhatsApp and email enquiries, and the PCO vehicle hire services we provide to private hire drivers in London. By using our website or services you agree to this policy.

1. Information we collect

• Contact details: your name, phone number, email address and home address.
• Driver and identity documents: your DVLA driving licence, TfL private hire driver (PCO) licence, passport or biometric residence permit, proof of address and, where relevant, evidence of your right to work in the UK.
• Insurance details: a copy of the private hire insurance policy you arrange for the vehicle.
• Payment information: details needed to take weekly payments and hold and return your deposit, such as bank account details or card payment references. We do not store full card numbers.
• Hire details: the vehicle you hire, your chosen plan, start and end dates, mileage, condition reports and any damage, fines or penalty notices linked to the vehicle during your hire.
• Communications: records of messages, calls and emails between you and us, including WhatsApp conversations and the details you send through the form on our website.
• Website usage: basic technical information such as your device type and pages visited, collected through cookies as described below.

2. How we use your information

• To provide our services: checking your eligibility, preparing your hire agreement, handing over and collecting the vehicle, and managing servicing, MOT, tyre replacement, road tax and TfL vehicle licence renewal during your hire.
• To take payments: collecting your weekly payments in advance, holding your £300 deposit and returning it at the end of the hire.
• To communicate with you: answering enquiries, confirming bookings, arranging maintenance appointments and dealing with any issues that arise during your hire.
• To deal with fines and notices: as the registered keeper of the vehicle, we receive penalty charge notices, speeding notices and similar correspondence. We use your details to identify the driver responsible and to transfer liability where the law allows.
• To keep records: maintaining contracts, invoices, condition reports and correspondence for accounting, insurance and legal purposes.
• To meet legal obligations: including obligations to Transport for London, the DVLA, HMRC and our insurers, and to prevent fraud.
• To send you updates: occasionally we may contact you about new vehicles, offers or changes to our service. You can ask us to stop at any time.

Under UK data protection law we rely on the following lawful bases: performance of our contract with you; our legitimate interests in running a vehicle hire business safely and recovering amounts owed; compliance with legal obligations; and, for marketing messages, your consent.

3. How we store and protect your data

Your information is stored on secure, password-protected devices and accounts that only authorised people at PCO Car Rental London Ltd can access. Copies of identity documents are kept only for as long as needed to verify you and satisfy our legal and insurance requirements. We keep hire agreements, invoices and related records for six years after the end of your hire, in line with UK accounting and limitation rules, and then delete them securely. Enquiries that do not lead to a hire are deleted within twelve months.

No method of storage or transmission is completely secure, but we take reasonable steps to protect your data from loss, misuse and unauthorised access, and we will notify you and the Information Commissioner's Office where the law requires if a breach affects you.

4. Who we share your data with

• Service providers: garages, MOT centres, tyre fitters and recovery companies who maintain our vehicles, and the payment providers who process your payments.
• Insurers: our own insurers and, where necessary, your private hire insurer, in connection with claims or verification.
• Authorities: Transport for London, the DVLA, the police, local councils and enforcement agencies where we are required to identify the driver of a vehicle or otherwise comply with the law.
• Professional advisers: our accountants, solicitors and debt recovery agents where needed to run our business or enforce our agreements.

We do not sell your personal data, and we do not share it with third-party marketing companies. Where a provider processes data on our behalf, we require them to protect it and use it only for the purpose we have agreed. We do not transfer your data outside the United Kingdom except where a provider we use stores data in a country with equivalent protection or under appropriate safeguards.

5. Cookies

Our website uses only the cookies needed for it to work and, if we add analytics in future, cookies that help us understand how visitors use the site. We do not use advertising cookies. You can control or delete cookies through your browser settings; the site will continue to work without them.

6. Your rights

Under the UK GDPR and the Data Protection Act 2018 you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct inaccurate or incomplete data;
• ask us to delete your data where we no longer need it;
• object to, or ask us to restrict, certain uses of your data;
• withdraw consent to marketing messages at any time;
• receive the data you gave us in a portable format.

7. Changes to this policy

We may update this policy from time to time to reflect changes in our services or the law. The current version, with its effective date, will always be published on this page. This policy was first published in 2026 when PCO Car Rental London Ltd began trading.
